KEY FUNCTION:

Assist NEO Navigation, a centralized referral and intake program, while supporting families waiting for pediatric healthcare services.

REPORTING:

Under the general direction of the Coordinator, NEO Navigation.

DUTIES:

  • Support children, families, and service providers to navigate the referral process.
  • Participate in intake functions; create and update the client record, determine basic service eligibility.
  • Execute tasks that support a client's participation in programs and services from point of intake to discharge.
  • Schedule and register appointments in Meditech Community Wide Scheduling.
  • Respond to patient/family and public inquiries; provide positive support and information.
  • Process referrals within the Ocean eReferral Portal.
  • Upload relevant documents to patient charts.
  • Support the multi-disciplinary team with secretarial duties.
  • Perform data entry and general office procedures.
  • Participate in education and training specific to current, relevant federal and provincial health and safety legislation, standards and guidelines.
  • Participate in hospital training as required.
  • Assist with improvement initiatives as required.
  • Perform other duties as required.

QUALIFICATIONS

EDUCATION AND TRAINING:

  • Minimum of a one (1) year Diploma in a Medical Office Administration field, from an accredited college.
  • Ministry of Labour “Worker Health and Safety Awareness in 4 Steps” training certificate is required.

EXPERIENCE:

  • Minimum of six (6) months recent relevant experience working in a pediatric department within a health care environment.

KNOWLEDGE/SKILLS/ABILITIES:

  • Demonstrated knowledge and awareness of NEO Kids program services.
  • Demonstrated ability to type a minimum of 50 words per minute.
  • Demonstrated knowledge of and proficiency with Medical Terminology.
  • Demonstrated ability to effectively interact and communicate with patients, families, healthcare workers and physicians.
  • Demonstrated excellent customer service skills.
  • Demonstrated computer skills with proficiency in Microsoft Office software (e.g. Excel, Word, PowerPoint and Outlook) and applicable patient information systems.
  • Demonstrated knowledge in Meditech Community Wide Scheduling.
  • Demonstrated ability and willingness to learn new software.
  • Demonstrated ability to prioritize tasks.
  • Demonstrated interpersonal and communication skills.
  • Demonstrated compliance with HSN's privacy policy.
  • Demonstrated commitment to the safety of co-workers and patients.
