Job Responsibility:
We are searching for an engineering office administrative assistant and bookkeeper to join our team on a part-time to full-time basis.
Must have excellent communication skills, attention to detail and ability to prioritize and manage time effectively while multi-tasking. Reporting to the Owner and Engineering Manager, the Accounting and Administrative Assistant must have a high degree of integrity and be responsible to ensure accurate, complete and timely processing of the accounts payable, government returns and various month end reconciliations for the Company. An above average skill set in using Excel and exceptional knowledge of Quickbooks Desktop is necessary for this position.
Responsibilities:
- Prepare and issue invoices for engineering consulting work and follow up on any unpaid invoices
- Maintain records for 200+ projects per year and keep track of expenses and invoicing. Match employee hours to projects.
- Record, verify and ensure timely payment of expenses in accordance with the company's processes and maintain accurate records.
- Reconcile banking and credit card statements.
- Ensure Quickbooks records are up-to-date
- Maintain a positive working relationship with customers, managers and staff.
- Maintain various lists related to accounts payable, petty cash, pre-paid expenses and other as needed.
- Preparation of month end and year end working papers in coordination with accountant
- Answer phones when other staff unavailable
- Payroll
Skills & Qualifications:
- 2 years of bookkeeping / Quickbooks experience at minimum
- Strong computer software literacy skills (including MS Office)
- Highly proficient in the use of MS Excel and accounts payable/general ledger accounting systems
