THE OPPORTUNITY We have an exciting opportunity for an Executive Assistant to the President at our award-winning firm in the Vancouver office. WHAT YOU'LL DO Reporting to the President, you will proactively support their day-to-day needs in a fast-paced environment while managing confidential information with tact and diplomacy. This role requires exceptional interpersonal, organizational and time management skills, and must exercise discretion, judgement and initiative in carrying out a variety of executive support activities. The ideal candidate is a professional, resourceful problem solver who excels at managing private and time-sensitive matters, while managing a complex workload. You thrive under change and are a chameleon in adapting your communication and interpersonal style to various stakeholders and team members throughout the firm. RESPONSIBILITIES
  • Serve as a liaison between the President and internal/external stakeholders
  • Manage daily administrative and operational functions including calendar management, meeting support, event planning, travel arrangements, and drafting correspondence and emails with a high level of discretion and confidentiality
  • Maintain information flow on behalf of the President by screening and prioritizing incoming requests, managing mail and telephone calls, flagging priority and urgent matters, and directing routine matters to other team members
  • Draft, edit and format various forms of correspondence for the President's review based on a thorough analysis of the documents, information and notes provided
  • Anticipate information needs and compile agendas, minutes and information packages for meetings, conferences, appointments and so on
  • Oversee operating processes and procedures for continuous improvement and maintain recordkeeping systems and controls
  • Create spreadsheets and maintain effective tracking and updating of various reports
  • Develop presentations and prepare related materials and handouts for meetings and presentations
  • Develop, publish and maintain various SharePoint sites
  • Manage travel arrangements, ensuring planning complies with the firm's guidelines and individual preferences
  • Coordinate and support firm events throughout the year
  • Other executive support and specific projects as assigned
KNOWLEDGE AND EXPERIENCE
  • 5+ years of experience as a C-level Executive Assistant within an investment firm required
  • Post-secondary education in Business Administration or related discipline
  • High degree of tact, diplomacy and discretion, along with independence, initiative and self-discipline
  • Strong organizational and analytical skills with demonstrated ability to manage competing priorities
  • Detail-oriented and accountable in delivering tasks and project initiatives
  • Proven experience in project management and event planning
  • Team-oriented - a genuine desire to be proactive and create a positive experience for others
  • Superior verbal and written communication and interpersonal skills, anchored in trust and respect
  • Advanced proficiency with Microsoft Office (including Word, Excel, PowerPoint, Outlook, SharePoint) and Adobe Acrobat
