Job Summary:

The Christmas Bureau Administrative Assistant is part of a skilled team that supports families and seniors by providing opportunities for inclusion and participation in Christmas holiday traditions. The Christmas Bureau Administrative Assistant is responsible for processing program applications, matching neighbours and program participants, program communication and data entry.

Your Role:

· Performing intake services collecting client applications, opening client files, and entering guest information into the client data management system, Link2Feed.

· Communicating with neighbors, donors, clients via email and/or phone - including mass email updates and thank you letters.

· Connecting with new and existing clients and neighbors to explain the program and answer questions.

· Creating and distributing client and neighbor surveys.

· Organizing and matching neighbors and program participants based on prerequisites.

· Creating and maintaining excel documents to track program progress.

· Assisting in booking toy room shopping dates.

· Providing support to the Food Bank and Christmas Bureau administration team by performing a variety of reception and administrative duties.

This position is a great fit for someone who is details oriented, has good organizational skills, and is skilled in using Microsoft Office365, particularly Excel.

Our Offer

· Wage: $22.00 per hour

· A part-time/full-time position up to 40 hours per week, availability Mondays to Fridays, from 8:00 AM to 4:30 PM.

· Permanent, seasonal from August to January each year.

Getting an Interview - you will be considered if you have:

· High school diploma or equivalent work experience.

· Experience in customer service.

· Experience in customer service in an administrative position is preferred.

· Experience working with MailChimp is an asset.

· Experience working with donors is an asset.

· Experience working with vulnerable populations is an asset.

The Job Requires you to have:

· Strong organizational skills.

· Ability to work independently or as part of a team.

· Ability to adapt to shifting priorities and changing work conditions.

· Strong knowledge of Microsoft Office365 and a well-developed use of Excel.

· Ability to work in an open office space.

· Ability to sit for long periods of time being on the phone and at the computer.

· Ability to lift up to 50lbs.

· Ability to be organized, manage time, and meet deadlines.

· Cultural competence to work well with people from a variety of cultural backgrounds.

· A satisfactory Criminal Records Check is a condition of employment.
